Step 1 of 6
Entries are made by the club, not the individual contestant. Checks and next year's packet go to this address.
Enter the club name.
Enter a valid email for the confirmation.
A $10 club-membership fee is collected from each added contestant and refunded to your club at packet pickup. Earliest entries get filled first.
Step 2 of 6
Flip on each event your club is entering and name the contestant. The total updates as you go.
Step 3 of 6
Office charge and one porta-john are required for every club. Everything else is optional.
Step 4 of 6
List your members — contestants must belong to the club they represent. Add as many as you need, or paste a list.
The secretary certifies the roster.
Step 5 of 6
On submit, each officer gets an email with a secure link to review and sign — in order: Secretary, then Vice-President, then President. The entry isn't final until all three have signed.
For and in consideration of the right to participate in any meeting or event held by or forming a part of any function of the International Roundup Clubs' Cavalcade, the undersigned representatives of the listed club agree that said organization, together with its officers and members, shall in no way be liable to any member of the club, their heirs, executors, administrators, or any other person for any damages or redress on account of any injuries, fatal or otherwise, caused or sustained by a member because of any accident, regardless of the nature or cause of such accident.
The undersigned further agree to bind each member to hold harmless said organization and its officers and members from any actions, claims, or demands made by the estate of any member or by any person resulting from the death of any member or any accident a member may receive, and to reimburse said organization for any loss, damage, or cost it must pay as a result of such action, claim, or demand.
Club officers must sign the entry blank or it is not valid.
Add a name and a valid email.

How signing works: each officer signs with a typed-name e-signature through their emailed link — the model to confirm with the board and insurer. If a drawn signature is required instead, the link swaps to a sign-with-finger pad with no other change to the flow. Signature status is tracked live on the office dashboard.
Step 6 of 6
Here's the itemized entry. Pay by card now, or mail a check on the old rail — your call.
Your club is entered in the 80th Cavalcade.
✓ Paid by cardThat CSV is the row that drops straight into the office's master entries sheet — events, fees, totals, roster count, and payment status, all keyed once by the club.
Paper still works
Old-timers, walk-ins, and bad fairgrounds signal mean paper stays as a backup. A mailed form is scanned, the fields are read automatically, and the secretary confirms before anything posts. Same clean data, no full re-keying.
Smudged ink — confirm spelling against the roster.
The written total is short by $455 — the tent line wasn't added in. This is the secretary's most common error, and the calculator catches it every time.
